You must Register first and become a BTF Registered Organisation. Once you have received notification of your approval, your organisation has access to receive these rates at Flaxmill. Approval is given at the sole and absolute discretion of the Trustees of the Big Toe Foundation.
Your eligibility for these rates remains in place until either BTF or your organisation (for any reason) advises in writing that it is withdrawing from this arrangement.
A request must be made in writing from an authorised person at your organisation with the details of the change. We will verify any change requests.
The rates are made available to help subsidise your organisation's use of the accommodation and event venue facilities at Flaxmill (applicable to bookings post-Easter to mid-December).This can be for:
- Refreshing getaways or respite breaks for individuals/couples/families in Flaxmill's Houses and Cottages
- Small group meetings or courses utilising some accommodation plus an Event Room(s) (if required)
- Larger retreats or courses that require full use of the accommodation, venue facilities and the beautiful grounds at Flaxmill
Yes! BTF wishes to recognise the valuable work that your whole team does in the Not For Profit sector. Team members can access these rates for personal accommodation stays (not events) under the same framework and conditions. A booking request does need to be approved by the nominated Authorised Contact for your organisation, but once approved, Flaxmill will deal with the team member directly to arrange the finer details of their stay.
From December 2017, Flaxmill will have 2 new Houses available onsite. These Houses are fully accessible for people with mobility difficulties. Each Accessible House is accessed via a ramp, has wider doorframes, handrails in the bathrooms and a wheelchair friendly kitchen layout.
In order to make this opportunity sustainable, a minimum of 2 nights is required for all stays. At BTF, we believe that 2 nights is not enough time to fully wind down and recharge, therefore stays/events of 7 or more nights attract a reduction of 75% off rack rates (up to a maximum of 14 consecutive nights).
The Rates page gives you a basic breakdown of the BTF rates. They are approximately 50% - 75% of the equivalent standard rate depending on the length of stay. For a more detailed estimate, please use our Cost Estimate tool. This will provide you with an indicative estimated cost only based on the information you provide. Every event has some unique requirements so a formal quote will be given once a booking request is made and all details are finalised with the team at Flaxmill.
Once you have registered with BTF and received notification of approval, you can use the Cost Estimate and Booking Request tool to send a booking request. A team member from Flaxmill will then contact you to discuss your requirements and confirm cost and availability of your preferred dates. All bookings must be requested by the Authorised Contact of the organisation.
Please contact the Managers at Flaxmill directly via writing/email. This communication should come from (or be approved by) the nominated Authorised Contact of the organisation. For Events, Flaxmill requires a minimum of at least 30 days’ notice of any alterations that will affect your booking total as invoiced. Increases in guest numbers may be accepted subject to availability and the booking cost altered accordingly.
Quality linen, towels and cleaning equipment are provided in the accommodation. Please bring any food supplies you need with you as there are limited options available in the area (full supermarkets are located in Whitianga). Coffee, tea and beverage supplies are not provided in the Event Centre so we ask that you please bring your own.
Includes the use of an Event Area for the purposes of group meetings and/or as a space for communal dining for up to 20 people. Our Event Centre has 3 different areas that can be hired for groups of 20 and under. Room 1 is a formal meeting room, Room 2 can be used for meeting or dining and Room 3 is a casual lounge space for fireside discussions or breakouts. Rates include the use of A/V system, electronic whiteboard and pens, speaker lectern, water jugs and glasses plus dining facilities for up to 20 people. For events over 20 people, a reduced rate is available for hiring the whole event centre.
In addition to the Houses and Cottages at Flaxmill, there are 3 "sleeper" Cabins on site which in total can accommodate an extra 3 (single) to 6 (twin-share) people. They can provide additional accommodation for larger events (especially for caterers or helpers), or an affordable add on option when booking the House accommodation. The Cabins provide sleeping accommodation only and guests use the communal central facilities (just across the path).
Flaxmill has no inhouse catering. We have found many organisations choose to bring their own food and self-cater within their team or bring a dedicated caterer with them to stay on site. Smaller events have used the fully equipped kitchens (or BBQs) in the Houses or dined at local establishments. Larger events have utilised the central kitchen and communally dined together in the Event Centre. We do have local caterers we can introduce you to if you do require more formal catering options. Catering is not provided for under this programme and will be payable directly to the relevent service provider.
This package gives you use of all the accommodation available onsite as well as full use of the Event Centre, central amenity block, onsite catering equipment and communal dining facilities. No other guests will be on site other than the attendees of your event and the grounds are freely available for your timeout or team building activities.
As an additional bonus for Exclusive Use events in the warmer months, if required, a small number of campers may pitch their tents or bring their campervans (subject to prior approval by Flaxmill's Managers). Campers use the communal facilities in the central block and are charged on a per person per night basis at Flaxmill's standard low season rates.
- 10% of the total quoted rate is payable as a (non-refundable) deposit to secure the booking
- Final numbers, room configuations and final balance is due 30 days before the arrival date
- Bank transfer to Flaxmill’s account is advised as credit card payments incur a 2% surcharge
